A transaction coordinator (TC) manages all the administrative details of a real estate transaction from contract to close. This includes tracking deadlines, ensuring documents are complete, coordinating with all parties, keeping the process on schedule, and so much more—so you can focus on client relationships and sales. 2. How is a transaction coordinator different from a real estate assistant?

An assistant typically works only for you, handling a variety of office tasks. A TC is a specialized professional who focuses solely on real estate transactions and compliance. We work per transaction, ensuring every file is complete, deadlines are met, and communication is smooth between all parties involved.

3. When should I bring a TC into a transaction?

Ideally, as soon as your contract is signed. The earlier we’re involved, the more efficiently we can manage timelines, paperwork, and communications—reducing your workload and minimizing the risk of missed deadlines.

4. Who pays for the transaction coordinator’s services?

Most often, the agent pays the TC from their commission at closing. Some agents pass the cost to their clients as part of their transaction fee. Either way, you only pay when the deal closes—no ongoing salary or overhead.

5. How does a TC track and manage deadlines?

We use a detailed transaction checklist and specialized real estate software to track every important date—from due diligence to final closing. You’ll receive calendar reminders and update emails so nothing slips through the cracks.

6. Will the TC communicate with my clients directly, or just with me?

That’s up to you. Some agents prefer all communication to flow through them, while others have us speak directly with their clients for updates and reminders. We adapt to your preferred style.

7. Do TCs need a real estate license?

In NC & SC, no license is required for a TC. We are licensed in NC (inactive). However, we work under your direction and never provide legal advice or negotiate terms—we strictly manage the administrative and compliance side of your transaction.

10. Are there any tasks a TC will NOT do?

Yes. A transaction coordinator does not negotiate offers or repairs, provide legal advice, provide marketing, or perform duties that require a real estate license in your state. We also do not handle lead generation or prospecting. Our role is focused on the administrative, compliance, and coordination side of your transactions—keeping everything organized, accurate, and on time.
